Privacy policy

This policy explains what information Reliable Checks collects, why we collect it, how it is stored, and who it is shared with. It applies to this website and to the background check reports we produce.

Information you give us

When you place an order, we collect two distinct categories:

• Your information as the customer: your email address, and the name, billing address, and phone number you provide to our payment processor at checkout.
• Information about the subject of the search: the name, year of birth, and last four digits of the Social Security number you supply, plus any optional aliases or known locations.

If you use our contact form, we collect the name, email address, and message you submit so that we can reply.

Payment information

Card payments are processed entirely by Stripe. We never receive, see, or store your full card number, expiry date, or security code. What we retain is limited to the card brand, the last four digits, the amount charged, and Stripe's identifiers for the payment. That is enough to reconcile an order and issue a refund, and nothing more. Stripe's handling of your data is governed by its own privacy policy.

How subject information is protected

The last four digits of the Social Security number you supply are encrypted before being written to our database and are decrypted only when a researcher opens the order to run the search. Access to that data is limited to staff working your order, and each access is recorded.

Subject identifiers are never transmitted to our payment processor, never included in the body of an email, and never written to application logs.

How we use information

• To run the searches you ordered and prepare your report.
• To deliver that report and to contact you about your order, including if we need additional information to complete it.
• To process payments, issue refunds, and keep financial records.
• To meet legal obligations and to respond to lawful requests from law enforcement.

We do not sell your information. We do not share it with third parties for their own marketing, and we do not send marketing email unless you have asked us to.

Service providers

We rely on a small number of providers to operate the service: Stripe for payments, Resend for transactional email, Neon for database hosting, and Vercel for application hosting. Each receives only the data necessary to perform its function and is bound to handle it accordingly.

Retention

Order records are retained for as long as necessary to provide the service, resolve disputes, and satisfy tax and accounting requirements. Subject identifiers are retained only as long as they are needed for the search and any follow-up, after which they are deleted from the order record.

Cookies and analytics

This site uses only the cookies required for it to function, such as keeping you signed in to the staff portal. We do not use advertising cookies or third-party tracking pixels. Any analytics we use is aggregate and does not identify you personally.

Your choices

You may request a copy of the information we hold about you, ask us to correct it, or ask us to delete it, subject to records we are required to keep. Email info@reliablechecks.com and we will respond.

Children

This service is intended for adults. You must be at least 18 years old, or the age of majority where you live, to place an order.

Changes to this policy

We may update this policy from time to time. The date at the top of this page reflects the most recent revision, and material changes will be noted here.
